The Regional Admin Specialist duties and responsibilities include providing administrative support to multiple facilities, Ensuring efficient operations, clear communicationand specific tasks between state level and corporate. The Regional Admin Specialist should have strong organization, collaboration, execution and communication skills. All duties are required to be comepleted accurately and delivered with high quality and inatimely manner. This role has a high degree of autonomy and should expect to use their experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Essential Duties and Responsibilities include the following

    • Provide general corporate administrative support to regional facilities, their teams and leaders. May oversee multiple facilities where geography allows, and coverage is needed. Traveling to managed sites is required.
    • General supply and catering, shipping and receiving (if onsite), breakroom management, occasional cleaning, program management of Instacart and Amazon.
    • Organizing team, company and special events. Coordinating, budgeting, research, organization, and communications
    • Managing, coordinating and executing the employee onboarding/recognition/communication programs: Work Tango, birthday, anniversaries, onboarding, etc.
    • Travel assistance: Booking travel and creating travel itineraries. In-depth understanding of Wyld travel policy. Ability to reiterate travel policy to employees. Work within Wyld’s travel platforms, (creating users, coordinating travel for new hires). Managing the company Lyft account and other programs – Etta, Airbnb, etc.
    • Maintain and follow the administration budget for region
    • Tours, key fobs, employee IDs, new hire swag bags, ability to answer common new hire questions/ point employees to correct team/person for questions outside of administrative duties (if onsite).
    • Track permits and expiration or renewal dates, and ensures facilities remains in compliance with proper signage and documentation
    • Maintain conference rooms and meeting areas.
    •  Administration Department and Corporate Support
    •  Research and create proposals for innovative solutions to better employee’s experience and more efficient operations
    • Policy/Procedures/Department/Company knowledge
    • Maintain the confidentiality of all information received, within the scope of the position.
    • Effectively communicate information and respond to questions/suggestions from various levels within the facility.
    • File management and retention using best practices in security within SharePoint and Microsoft
    • Assist HR with onboarding for new state launches or where needed
    • Assisting CSR team with regional support for volunteering events for staff
    • Other duties, responsibilities and activities may change or be assigned at any time with or without notice.

Qualifications

    •  3-5 years of progressive experience performing a variety of office, administrative and customer service tasks
    • Excellent communication skills including written, verbal, listening, and customer service skills with the ability to effectively communicate with and work well with others in order to manage projects, etc.
    • Comfortable with operating in a high paced environment.
    •   Resourceful, self- motivated with a sense of urgency and strong work ethic. Capable of regularly using good judgment and problem-solving skills to accomplish goals and work requirements.
    • Must be able to be entrusted with confidential information.
    • Proficient computer skills working with various office equipment, computers and various programs including Word, Outlook, PowerPoint, Excel, etc and the ability to effectively work on spreadsheets, word processing, networking, and e-mail programs.
    • Effectively communicate information and respond to questions/suggestions from various levels within the company
    • Possess advanced mathematical skills: addition, subtraction, multiplication and division
    •  State regulations require all applicants must be 21 years of age or older
    • Will be required to submit to a background check
    •  Must obtain all state required: permits, licenses, certifications
    • Travel between sites will be required
    • Must be willing to receive authorized vaccination against COVID-19

Compensation:
 
As a exempt employee, you'll receive a competitive salary rate of $60,000 - $70,000/yr,  10 paid holidays, 80 hours of PTO, 401k and fully paid health, dental and vision insurance
